New Feature in WiredContact: BCC Dropbox for Effortless Email Logging

One of the dilemmas a CRM publisher constantly faces is how to integrate with e-mail.  After all, you want to quickly see the relevant communications to your client or the relevant communications to a deal.  The new BCC Dropbox feature in WiredContact is a powerful addition for keeping communication history complete with minimal effort.  What we like about this feature is we don’t need to support a complex integration whether it’s MS Office, G-Mail, iOS, desktop or a mobile device.

What Is the BCC Dropbox?

The BCC Dropbox is a site-wide email address (e.g., mondocrm@wiredcontact.com) that automatically captures outbound emails sent from your team. When you BCC this address on an email:

  • WiredContact checks the recipient’s email address.
  • If a match exists, the email is logged under that contact’s history.
  • If no match is found, a new contact is automatically created.

No plugins, no cutting and pasting, and no forgetting to update CRM records.

Frequently Asked Questions

  • Can I use the BCC Dropbox for incoming emails?
    No. The feature only works with outbound emails. To log an incoming message, simply reply to the sender with a short message and BCC the dropbox address. This will create or update the contact as needed.
  • Does this make a copy of the .msg (Outlook message file) and store it in WiredContact?
    No. You would need a 3rd party plugin for that option, and you would need to budget for additional storage costs.
  • What happens if I email multiple recipients?
    WiredContact evaluates each recipient individually:
    If their email address exists in your CRM, the message is saved to their record.
    If not, WiredContact will create a new contact automatically.
  • Does this replace Outlook, G-Mail or Zoho Mail?
    No. This tool only records a copy of the sent message against the contact’s history.

Should I use Outlook as a CRM tool ?

Short answer: No.  It lacks too many essential features.

Given that we use Outlook in house to manage e-mail, personal contacts and a personal calendar, our opinion isn’t out to snub Outlook just to pitch CRM.

In fact, you don’t need to abandon Outlook to get a CRM.  Most CRMs will integrate with Outlook to integrate e-mail, contacts or a calendar so critical information can be seen on the smartphone.  Furthermore, you can see the email correspondence on the contact record from the CRM.

  • Documenting conversations by date/time stamp and easily sharing them among your team.
  • Implementing contact security among your peers.
  • Creating a sales forecast.
  • Creating a mail-merge to a Word document.
  • Creating effective user fields to classify contacts by more than one field such as "category".
  • Re-Entering the same data among different applications like Word or Excel becomes a chore to create call reports or sales forecasts.
  • Using Outlook is ineffective as a help desk ticketing system.

E-Mail Merge for Custom Form Letter Crashes in Act!

Act! and Outlook 2016

I have witnessed Act! crashing when performing a mail-merge for a custom form letter in Act! to be sent via Outlook.  In this case, the merge works a couple times, then it chokes with Act! crashing.  Here is one possible cure.

  1. Close Act!
  2. Close Outlook
  3. Close Word
    1. Go to Task Manager (Start -> Run -> Taskmgr)
    2. End all instances for Microsoft Word (screen shot)
    3. Close Task Manager
  4. Find “normal.dotm” using Windows Explorer
    1. Press Windows Start -> Run -> %appdata%
    2. Find the directory C:\USERNAME\appdata\roaming\microsoft\templates
    3. delete normal.dotm
  5. Restart Act!
  6. Restart Outlook
  7. Test the Mail-Merge
