User Guide: Crexi Extraction Tool by MondoCRM
Overview
The Crexi Extraction Tool by MondoCRM streamlines the process of organizing Crexi lead reports by generating easy-to-use .csv
files. This tool is specifically designed to export leads downloaded from your “My Listings Page”. If you use another CRM outside of Crexi, this tool gets the relevant data out so you can import the data into a system of your choice.
What Does This Tool Do?
- Extracts Contact Details: A deduplicated list of contacts, organized by email addresses.
- Extracts Visit Details: A complete, non-deduplicated record of visits for better tracking.
- Generates Three CSV Files:
contacts_<site_address>.csv
contact_visits_<site_address>.csv
contact_visits_zoho_<site_address>.csv
Important Note
- This program is exclusively available to paying clients of MondoCRM with an active CRM hosting plan.
- To obtain the installer, please contact us via the MondoCRM Contact Page.
- This tool is not free for public distribution and is customized for MondoCRM clients.
How to Use the Tool
1. Download the Correct Lead Report
This tool only supports the Crexi lead report downloaded from the “My Listings Page”. Follow these steps to obtain the correct report:
- Log in to Crexi.
- Navigate to your “My Listings Page”.
- Click one of your listings and select “Full Lead Report” (Sample screen)
- Refer to this screenshot guide with step-by-step instructions for details on how to download the report.
2. Launch the Tool
- Double-click the
crexi_extract_gui.exe
file to open the application.
3. Upload Your File
- Option 1: Drag and drop the downloaded Excel file directly into the tool’s interface.
- Option 2: Click the “Select File” button to browse and upload your file.
4. Wait for Processing
The tool will process your file and create three .csv
files in the same directory as the Excel file:
contacts_<site_address>.csv
: A deduplicated contact list based on email addresses.contact_visits_<site_address>.csv
: A full record of visits, including duplicates.contact_visits_zoho_<site_address>.csv
: A full record of visits, including duplicates specifically formatted to import as notes for a Zoho CRM record.
5. Access Your Files
- The tool will display a success message once processing is complete.
- Navigate to the folder where your Excel file is stored to access the
.csv
files.
6. Optional: Review the Log File
- If you encounter an error, open the
crexi_extract.log
file (located in the same folder as the tool) to review detailed information.
Output File Details
1. Contacts CSV
- Columns: First Name, Last Name, Phone, Email, Company, Role, Lead Source, Lead Source Detail.
- Deduplication: Only the first occurrence of each email address is retained, assuming it contains the most accurate information.
2. Visits CSV
- Columns: Site Address, E-Mail, Level of Interest, Visit Date.
- No Deduplication: All visit records are included for comprehensive tracking.
Common Issues and Troubleshooting
1. Invalid File
- Ensure the file is the Crexi lead report downloaded from the “Property Overview” page.
- Supported file formats are
.xlsx
and.xls
. - Refer to the screenshot guide for downloading the correct file.
2. Error Messages
- “An unexpected error occurred”: Check the
crexi_extract.log
file for detailed error information. - “Invalid File”: Verify that you’re uploading the correct lead report and ensure the file format is
.xlsx
or.xls
.
3. Missing Output Files
- Verify the Excel file contains the expected data structure. Files without the required columns or format will not be processed correctly.
